VILLAGE BOARD MEETING MINUTES - FEBRUARY 15, 2010

     Ralph Peterson opened Winterfest follow-up meeting at 7:00 pm.

     Committee members present: Ralph Peterson, Allan Starkweather, Dave Bielec, Ken Lauer, Sandy Thomas. Todd Skeet arrived at 7:10 pm.

     Mr. Peterson asked if anyone had heard any negative feedback from the Winterfest that was held January 30th.  One concern was the duplication of product being sold, such as hot chocolate and 50/50 raffle tickets, which will have to be watched more closely next year. 

     Majority felt that the tent worked out great.  A couple of problems mentioned were the sweating of the tent and people using the emergency flap of the tent for non-emergency use.  Signage was suggested as one solution for misuse of the flap. For the sweating issue the possibility of dropping a sub-canvas or venting were offered as possible solutions.  It was also mentioned possibly having an extra heater next year in case of failure of one of the regular heaters, to avoid having to call out the Sterling worker during the event.

     It was mentioned that Sterling employee Russell was more than accommodating in having to come out during the event to take care of heater problems.  Clerk Thomas said a thank you note has been sent to Sterling Tent mentioning the tremendous cooperation of Russell.

     Todd Skeet mentioned that Pete Sformo thought perhaps the event should go to 8:00 PM rather then 9:00 PM, and had questioned whether the Magic Show should be brought into the main entertainment area rather than the Court room.  Brief discussion occurred and consensus was that the Magic Show seems to work well in the Court Room where there are no distractions.

     Mr. Skeet also said he felt that a better PA system throughout the facility is a must, so all areas are covered and events won’t be missed.  He also mentioned the thought of possibly dropping the horse and carriage ride for next year.

     He said he felt the Boy Scout tent with hot dogs was a great draw. He said the Steve Coddington said they would love to come back next year. 

     Mr. Skeet also said that the PYA Cheerleaders Chinese Auction brought in over $700.00 and that they have already submitted a request to do it next year again. The Library has also submitted a request to do the Chicken Barbecue next year.

     Committee agreed that Thank you letters should be sent to the Fire department for use of the room for the Library and to the guys for spraying the ice down on the rink and to the Town of Pembroke for taking over the expense of the tent.

     Brief discussion took place regarding possible themes for next years Winterfest. As before, the event will be held the Saturday of the weekend before the Superbowl.  Dave Bielec mentioned if it was decided to do a card tournament, he would be willing to head that up.
